Stock Take with Smart-It just got a whole lot easier!

When doing a regular Stock Take, the system is now able to generate a report to show you all stock items that were not loaded on the system, but were on your shelf. When using the “import counted from CSV” option, all stock on the Excel sheet that is not on the system, will be shown in this new report once the Stock Take is processed.

To assist with the Stock Take you can use a barcode scanner to capture all items to Excel, or for the instant Stock Take.

Inventory Purchase Planning

Good inventory control is critical in ensuring an adequate level of stock is on hand for the amount of sales being generated. Having too much inventory (or the wrong type) during certain periods can slow your cash flow and reduce profits with too many markdowns. On the other hand, if you under buy and miss sales opportunities, then you are not making your potential profit

Business owners pay close attention to inventory as it makes up a large portion of the expense in the business. Inventory planning requires forecasting future needs to determine how much inventory should be on hand to meet consumer demand. The smart-it Purchase planning module does this with a high proportion of accuracy.

How can smart-it help you with your purchase planning?  

The Purchase planning system in smart-it will suggest reorder quantities according to manual re-order levels or by calculating quantities based on previous sales over a pre-determined period using regression analysis to determine sales trends,  while taking the suppliers lead time into account. There is a forecast accuracy indicator to show the reliability of the forecast. An added money saving feature is the ability for the user to select from multiple supplier price lists to order from the supplier with the best purchase price.

Client feedback on Purchase Planning:

‘486 stock items needed to be ordered. When I order these items from ‘Supplier A’, the price will be R2663745. When I order the same items from ‘Supplier B’, the price will be R2354759. But when I use the purchase planning function in smart-it, where I choose the cheapest supplier, the new purchase price drops to R2297442, a saving of R57317

For this to work effectively, you would need to import your supplier’s price lists and link your stock items to the respective suppliers. It is hard work, but it will pay off.

Inventory purchase planning

System Changes 02/06/2015

The following changes have been made:

Purchase order > Delete ordered line

You are now able to give access to any user to delete an item that has been ordered from a supplier by selecting ‘Delete ordered line’  on the security setup.

Stock >  Stock Turnover > Analysis

We have added ‘customer’ to the stock turnover analysis to assist you with better reporting tools.

e.g: You are now able to set up a report to see what items your clients have bought for a specific time period.

Workshop > Job Card lookup > Completed Job cards

The invoice for a completed job card can now be viewed by right clicking on the completed job card and selecting Invoice report.

Invoice > Invoice Options > Printing

When ‘Report Type based on tendered’ is selected:

When a person that is created as a debtors purchses from you paying cash it will then print the invoice to a slip printer, but if they buy on account it will print to a A4 printer. See example below.

If it is un-ticked in the same scenario, the debtors invoice will print to an A4 printer.

Workshop > Workshop Options > Printing

You are now able to set up 2 different invoice reports for your cash paying clients and your account paying clients for your workshop invoices.

Stock > Stock lookup > Select Stock item > Additional Info

When a stock item is marked as a ‘Service Item’ it will not be able to be treated as a trade in anymore. Only Trade in/ Empty will work for any trade-in.

If a service item needs to be traded in – rather use the return option on ‘invoice’

The following changes have been made:

Customer Payment / Receipt (or Debtor Payment)

To record a payment received for an unpaid invoice or to record a customer deposit, use the Receipts Form.

Go to Customer | Customer Receipts

The Receipts window looks like this:customer receipts

Accounts Receivable (AR) Payment Types – See image above.

To Reverse a Payment, enter the amount as a negative amount.

Example of a customer that pays more than he owes and wants change:

Customer offers R500 but he owes only R400 and wants change to the amount of R100 (R500 – R400). Type in R500 in the Credit card field and minus -R100 in the Cash Amount field and R400 in the Tendered field.

The journal entries will be Debit Cash Control and Credit Debtor Control, except for Direct Bank/EFT where it will post to your Bank. To change the default accounts go to General Ledger > Options & Account Defaults.

How SI+ applies payments.

You can select on the Customer Main Form to Auto Allocate Payments. If this was selected then SI+ will apply the payment amount to the oldest invoice, then to the next oldest, and so on.

Vouchers

If the customer pay with more than one voucher, separate the voucher numbers with a comma (,)
